What are the ongoing responsibilities of an Administrative Assistant?

FTIS is now looking for an Administrative Assistant (based in Poznan, Poland) to support the front desk located in Luxembourg office and the Governance & Oversight team. This role will be responsible for a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. The employee will also be responsible for making travel and meeting arrangements, improving admin processes, internal communication, participating in the local projects and preparing reports and statistics.

As the Administrative Assistant in our team you will be also involved in a variety of oversight and governance related tasks. Your role will be primarily to support the team in daily responsibilities, admin related tasks and help with documentation, as well as maintain appropriate filing systems. Some of the tasks associated with the role involve active support of various committees and work groups in setting agendas, taking minutes of meetings, following up on action items and performing ad hoc investigations and analysis.

Wymagania

What ideal qualifications, skills and experience would help someone to be successful?

  • Min. 2 years of office experience in a comparable position/function.
  • Ability to communicate effectively both orally and in writing to establish and maintain effective working relationships. Strong written and verbal English communication skills required. Knowledge of French and German would be an asset.
  • Ability to work independently and as part of a team. Excellent attention to detail and strong organization skills.
  • Ability to develop and maintain effective working relationships with all levels of staff.
  • Adapts positively to change and effectively copes with business demands.
  • Demonstrates a common-sense approach to deciding when to act independently and when to ask for assistance.
  • Ability to identify solutions to business problems, to articulate these solutions and to support the implementation.
  • Proficient computer skills. Experience with Microsoft Office Products (Excel, SharePoint, Outlook).
